How to in-process

In order to begin a visiting rotation at Scott & White Medical Center - Temple, the following steps will need to be completed.

Step 1


Establish agreement between institutions

Before completing a rotation here at Scott & White, you must provide the sponsoring department with a Program Letter of Agreement (PLA).

Step 2


Obtain your physician-in-training (PIT) permit

In order to receive full admission into Baylor Scott & White, each visiting resident must possess a postgraduate training permit issued by the state.

If you are a resident rotating with us from out of state, you will need to obtain a rotator permit from the Texas Medical Board. This permit will only be valid for the length of the rotation.

In order to obtain a rotator permit, the home institution of the resident/fellow will need to provide the following to the Texas Medical Board:

  • PIT submission spreadsheet
  • Letter of accountability (from the sponsoring institution's department program director)



The PIT submission spreadsheet should be completed by the coordinator of the home institution. Upon completion, submit spreadsheet to PIT.Application@tmb.state.tx.us

The letter of accountability will be constructed by the sponsoring institution and faxed to 512.305.7009.

All documents have to be completed and submitted before a rotator permit can be issued.

Information the resident/fellow will need to complete the application are as follows:

  • ACGME program number
  • Social security number
  • ECFMG number (if applicable)
  • Start and end dates for your rotation

Step 3


Rotation detail

The GME admin will contact you:

One month prior to your rotation to obtain your social security number and date of birth in order to grant you access to the EMR system. This process involves the following steps:

  • Claiming your account through AccessONE
  • Completing the Compliance and EPIC training modules

One week before your rotation, you will receive a “Welcome” email that will include:

  • Location for ID badge pickup
  • Steps to confirm EPIC access
  • Details regarding your rotation, including:
    • Reporting time
    • Location
    • Maps

On the first day of your rotation, you will collect your badge from the badging office or the designated program coordinator and then report to your assigned area.
